ONEJOB is a management software for companies that allows collecting, storing, and archiving work-related data, as well as consolidating employee communication in one place. With our platform, companies can easily create and assign tasks, manage workflows, and monitor work processes in real time.

A short overview of the ONEJOB management system user journey:Order – The client places an order or a price inquiry, which is sent to the ONEJOB management system. The project manager agrees on the terms with the client and confirms the order.
Planning – A job offer is sent to an available employee, who either accepts or declines the offer.
Reminders – A few days before the job deadline, reminders are sent to both the client and the employee (worker).
Execution – The employee carries out the work according to the order. Once finished, the employee marks the task as completed and logs the hours spent.
Feedback – After the work is completed, an email is sent to the client offering the opportunity to give feedback on the completed task.

ONEJOB does not limit the number of user accounts — you can add as many users as your company needs. The STANDARD plan includes 5 user accounts. Each additional user: €2.99/month. The PRO plan includes 20 user accounts. Each additional user: €5.99/month. If your company has a large number of users or requires special conditions, we gladly accept personalized pricing requests.

Roles in the ONEJOB system are adapted to match the structure and workflows of each company. If key roles in your organization include Project Manager and Worker, the system allows assigning specific permissions and responsibilities accordingly. Below is an overview of these two roles:

1. Project Manager. Responsible for overall coordination, task distribution, and supervision of projects or job sites.
2. Worker. Carries out assigned tasks at job sites or within projects.

The project manager creates the company account and can then invite users (e.g., employees, project managers) by entering their email addresses and assigning them appropriate roles. The user receives an invitation to join the ONEJOB platform and sees only the information assigned to them. Permissions can be refined or restricted later.

 Communication between users in ONEJOB occurs through the following channels:

• Real-time messaging service: Users can exchange messages and discuss work progress.
  
• Reminders and notifications: Users receive reminders about deadlines and changes via email and the app.
  
• Feedback and reports: Feedback from clients and employees helps project managers monitor work progress and make necessary adjustments.
  

Document and file sharing: Users can share work-related documents and files.
All communication is securely protected in accordance with GDPR data protection laws.

A new customer inquiry reaches the company’s ONEJOB profile in two ways:

1. Via the inquiry form. When a customer fills out the inquiry form on the company’s website, the information is automatically sent to the company’s ONEJOB profile.
   
2. Through other channels (e.g., by phone). If the inquiry comes through a phone call or another channel, the site manager/project manager can manually enter it into the system. After that, a responsible person can be assigned, and the customer inquiry can be managed accordingly.

Open the “Task List”, select the desired task, and click “Edit”. You can modify the task description, deadline, assignee, and more. Click “Save” to apply the changes. Only the project manager has permission to edit orders.

Once the work is completed, the project manager can confirm it. Open the “Task List”, select the completed task, and click “Confirm” or mark the task status as “Done”. After confirmation, the task is saved to the archive or moves to the next stage according to the workflow.

To assign a task, open the “Task List”, select the relevant task, and click “Edit” or “Assign Employee”. Then choose the employee from the list and save the changes. The employee will receive a notification, and the task will appear in their view. Only users with the appropriate permissions (e.g., project managers) can assign tasks.

Yes, the ONEJOB system sends reminders in the following situations:

• Task deadline reminders: Employees and clients receive notifications before task deadlines.
  
• Client feedback reminders: Clients are reminded to provide feedback after task completion.
  

Other important notifications: Users receive alerts about system changes or new messages.
Reminders are sent via email.

Work execution on the agreed date proceeds as follows:

• The project manager assigns the task and sets a specific date for its completion.
  
• The employee and client receive reminders 1–2 days before the scheduled date.
  
• The employee performs the work on the assigned date according to the task description and agreement. Task progress can be tracked in the system.
  
• After completion, the client can provide feedback.

We believe that client feedback is essential for supporting business growth and development. Therefore, companies using the ONEJOB platform can send an email to the client requesting feedback after the work is completed. The ONEJOB system collects and stores the received feedback.
